How does KeyTrack® work?

KeyTrack New Zealand Limited provides licensed law firms and Real Estate Agents secure web solutions streamlining the communication in a property transaction. This enables clients of the law firms, and other interested parties (with the client's consent) access to view 'real-time' information concerning their property transaction 24 hours a day. That information is viewed in a TSR by entering your Username and Password and selecting the address of the property concerned. You will not be able to gain access to this secure information, unless you are a client of a KeyTrack Licensed Law Firm, or a client of a licensed Real Estate Agent.

Does KeyTrack New Zealand Limited carry out the conveyancing work?

No, the legal work is performed by a KeyTrack Licensed Law Firm. That law firm, with membership of the New Zealand Law Society, handles all settlements and finances and as such, all the necessary protections are in place to protect the consumer throughout the transaction. KeyTrack New Zealand Limited does not compete against Lawyers, but assists them in providing IT solutions to enhance conveyancing services. New Zealanders currently enjoy one of the lowest conveyancing fees globally. This is a result of immense competition between the 2000 or so law firms in New Zealand.

How does KeyTrack New Zealand Limited get paid?

KeyTrack New Zealand Limited charges a nominal fee to the participating law firm for each transaction in which the KeyTrack® technology is utilised. This fee is incorporated into the overall cost to you, in providing the conveyancing service. The time saved in communication may, in many cases, save all parties costs, including the Vendor and Purchaser.

How long has KeyTrack® been trading?

KeyTrack® commenced its operation in New Zealand in August 2003. Since its launch there has been significant further development, including the introduction of the MSR (Marketing Status Report).

How do I login to KeyTrack®?

You need your own KeyTrack® Username and Password that is issued by either the law firm you are dealing with, or by KeyTrack® directly.

If you don't have your KeyTrack® logins, contact us for assistance.

What are KeyTrack® MSRs?

Marketing Status Reports, that Real Estate Agents can create when they are logged into KeyTrack® for use when marketing their vendor/client's properties. They are another form of online shared file that agents can create and then give access to their vendor client and any others interested in the sale. There is a small charge for agents to create an MSR (currently $5 Inc GST). Contact us for more information, or help to create an MSR.

I am a Mortgage Broker, how do I use KeyTrack®?

Firstly, you will need to contact the law firm handling your deal to see if they are licensed to use KeyTrack®. If they are, they will be able to add you as an interested party to the TSR, as their client's Mortgage Broker. They will need your email address and preferably your mobile phone number to load into their KeyTrack® site, to get your Email and SMS Text updates.

If you have a close association with a Real Estate Agent; the agent can add you to any MSRs they create, so that you can see marketing developments, as well as the clients.

Is the KeyTrack® site secure?

Yes it is, please read our Security Statement

Where is the data stored?

The data is stored in KeyTrack® servers at a secure Data Centre in New Zealand together with other major websites, such as New Zealand's leading banks. We have issued that absolute maximum security is offered, together with many backups of data.

Can I get online or telephone support?

Yes, you can email us for assistance at: Info@KeyTrack.co.nz or call us on Freephone: 0800 KeyTrack (0800 539 872).

How does KeyTrack® benefit me?

Increased communications, via online access to a shared digital report called a TSR (Transaction Status Report), that is created by law firms using KeyTrack®, along with 'real time' e-mail and SMS Text Message Updates as property deals progress through to settlement day.

Client of a KeyTrack® Law Firm
You know when your Sale & Purchase Agreement has been received by your Lawyer/Legal Executive and that it is being worked on. You get piece of mind, knowing that everyone involved will be kept up to date regarding your sale or purchase, using today's modern means of communication. There is less stress for you, especially on settlement day when you get your SMS Text Message! You can add your own notes to the TSR that will be emailed to all parties.

Real Estate Agent
KeyTrack® helps you keep track of your property deals both online (by viewing the TSR) and by the email updates that you will receive, and no matter where you are you will know what is happening with your deals via the SMS Text Messages that you will also receive from KeyTrack law firms.

As the agent involved, you too can add your own notes to the TSR in your own notes section that will be emailed to all parties.

Real Estate Manager or Branch Administrator
KeyTrack® assists in streamlining your systems at your office. Advising you, via the email updates that you receive from KeyTrack® law firms, what firm your agent's clients are using, when their deals go unconditional (when releases of deposit need to be actioned) and then finally when a deal settles.

Also, you both have access to your KeyTrack® Branch Record and Agent List, so you can keep an accurate record of your branch and view all TSRs that your agents have.

Lawyers and Legal Executives
KeyTrack® gives you the ability to login to a secure website to create (or update) an online report (TSR) that assists you in keeping in touch with your clients, their agents, brokers and anyone else with an interest in their deals up to date, using today's modern means of communication (online access, email, SMS text messaging) that we have all become very familiar with.

While your clients/agents/brokers can add their own notes to the TSR that will be emailed to all parties, only you (the law firm user) can create TSRs and edit any of the data relating to condition/settlement dates, property addresses, participants etc. This ensures that you are in control of the data that is entered into the TSR, relating to the signed Agreement for Sale and Purchase.

You can still telephone your clients and agents, but you can rest assured that when important stages are met on a property deal, you can login to KeyTrack® to update their TSRs, knowing the automated email and text updates will be sent out to everyone involved, reducing the amount of emails, faxes, letters you have to create and send as well as reducing the amount of phone calls that you have to take, or make.

Mortgage Brokers/Financiers
You know when your client's Agreement is received at a KeyTrack® law firm and you have access to a central, digital file to help you keep in touch with everyone concerned, if required.

Just let your clients know that you would like to be included in the TSR and provide your email and mobile phone number to them, so they can let their Lawyer or Legal Executive know.

Other Interested Parties - E.G. Trustees/Company Directors/Building Inspectors
As mentioned for Mortgage Brokers/Personal Bankers above, you too can ask to be added to a TSR when you have an interest in the property deal to receive the email and text updates from KeyTrack® law firms.

Just let your client or other entity know that you would like to be included in the TSR and provide your email and mobile phone number to the Lawyer or Legal Executive acting.
